Leaving QuickBooks® for ERPNext isn't a single export and import. It's a short project, and most of the problems people hit come from doing the steps out of order. This is the sequence that keeps your books matching from one system to the next.

1. Pick a cutover date

Choose the date your books switch from QuickBooks to ERPNext. The end of a month works well, the end of a quarter is better, and the end of your fiscal year is cleanest. Everything up to the cutover date stays in QuickBooks; everything after it goes into ERPNext.

2. Decide how much history to move

You have two choices:

  • Opening balances only. Move your master lists and the balances as of the cutover date, plus any invoices and bills still open. This is simpler, faster, and enough for most small businesses. Keep QuickBooks available read-only for looking up old transactions.
  • Full transaction history. Move past invoices, bills, payments, and journal entries too, so old reports can be run in ERPNext. It takes longer and needs more checking, but everything is in one place.

3. Clean up QuickBooks first

Reconcile your bank accounts, clear out duplicates, and deal with old open items before you move anything. Problems you carry over are harder to fix later. We cover this in what to clean up before you leave QuickBooks.

4. Set up the ERPNext company

Create the company with the right fiscal year and currency, then build the chart of accounts. Keep your QuickBooks account structure where it works, so your accountant recognizes the reports. Set up sales tax templates and your bank accounts.

5. Move the master lists

Load customers, vendors (ERPNext calls them suppliers), and items. Spot-check a handful of each: names, addresses, contacts, and prices.

6. Move balances and open items

Enter opening balances as of the cutover date, usually as a journal entry that matches your QuickBooks balance sheet. Then load the invoices and bills that were still open, so customers and suppliers show the right amounts owed.

7. Reconcile before you rely on it

Compare the two systems as of the cutover date:

  • The trial balance matches QuickBooks account by account.
  • A/R and A/P aging match, customer by customer and supplier by supplier.
  • Bank balances match your statements.

Don't go live until these tie out. A difference found now takes minutes to fix; one found at year-end can take days.

8. Go live and close the old books

Take a final QuickBooks backup, enter anything posted in QuickBooks since the migration, and then stop entering transactions there. Run your first month-end close and bank reconciliation in ERPNext with extra care, and keep QuickBooks read-only for reference.

If you'd rather not run the migration yourself, Team I.T. handles QuickBooks to ERPNext migration and hosting.
